Privacy Policy
1. Who we are
Canopyfolio (“we”, “us”, “our”) provides a research-oriented catalog of US businesses and related tools for teams that need discovery and qualification workflows. The service is available at canopyfolio.com. For privacy requests, contact info@canopyfolio.com.
2. Scope
This policy covers personal data related to accounts, authentication, billing, product usage, and support communications. It does not turn catalog business records into “your” personal data. Catalog entries describe businesses and publicly oriented contact fields used for research; how you use those fields is your responsibility under applicable law (including marketing and calling rules).
3. Information we collect
Account & authentication
- When you sign in with Google, we receive identifiers and profile fields Google shares with us (typically name, email address, profile image, and a stable Google subject identifier).
- We store organization membership, role, plan entitlements, and timestamps needed to operate your workspace.
Product usage
- Search queries, filters, result interactions, saved leads, lists, notes, ICP preferences, and similar workspace data you create inside Canopyfolio.
- Quotas and counters (for example searches per day or export rows per month) used to enforce plan limits.
- Audit events such as searches, business views, exports, billing changes, and account deletion, retained for security, abuse prevention, and billing integrity.
Billing
- If you purchase a paid plan, payment is processed by PayPal. We store subscription identifiers, payer identifiers, plan tier, and billing provider metadata needed to activate, change, or cancel your subscription. We do not store full payment card numbers on our servers.
Diagnostics (when configured)
- Optional error monitoring (for example Sentry), product analytics (for example PostHog), and session experience analytics (Microsoft Clarity) may receive technical events, device/browser metadata, interaction signals (clicks, scrolls), and truncated error context when those keys are configured.
Communications
- If you email us, we process the content of your message and your reply address so we can respond.
4. How we use information
- Provide, secure, and improve the Canopyfolio service.
- Authenticate users and maintain organization isolation for tenant data.
- Enforce plan limits and prevent abuse, fraud, and unauthorized access.
- Process subscriptions, upgrades, cancellations, and related billing events.
- Respond to support requests and communicate service-critical notices (for example security or material product changes).
- Comply with law and enforce our Terms of Use.
We do not sell your account personal data. We do not use Canopyfolio to operate bulk email sequencing, mass contact export for spam, or auto-dialing on your behalf. Contact fields may appear in the product for research; outbound outreach remains your activity and responsibility.
5. Catalog data vs. your workspace
The business catalog is a shared, read-mostly research dataset. Your saves, lists, notes, ICP settings, exports, and account activity remain isolated to your organization. Plan features (including contact visibility and export quotas) may limit what you can see or download; those limits are product controls, not a warranty about third-party data quality.
6. Sharing
We share information only as needed to run the service, including:
- Processors such as hosting, database, authentication (Google), payments (PayPal), and optional monitoring/analytics providers under appropriate contractual terms.
- Legal / safety disclosures when required by law, valid legal process, or to protect rights, security, and integrity of users or Canopyfolio.
- Business transfers if we undergo a merger, acquisition, or asset sale, subject to continued protection consistent with this policy.
We do not sell personal account data to data brokers.
7. Retention
We retain account and workspace data while your account is active and for a reasonable period afterward as needed for backups, dispute resolution, fraud prevention, security logging, and legal compliance. Billing records and certain audit logs may be kept longer where required for financial or security purposes. Soft-deleted accounts are anonymized so the same Google identity can register again later if desired.
8. Account deletion
You can delete your account from Account settings in the product. Deletion soft-deletes your user record (and your organization when you are the sole member), clears Google linkage identifiers, anonymizes profile fields, and cancels an active PayPal subscription when one exists. You may also request help at info@canopyfolio.com from the email on your account. Residual backups and required logs may persist for a limited period before falling out of rotation.
9. Security
We use industry-standard safeguards appropriate to a SaaS research product (including encrypted transport, access controls, and parameterized data access). No method of transmission or storage is perfectly secure; you are responsible for safeguarding access to your Google account and any devices used to reach Canopyfolio.
10. International users
Canopyfolio focuses on US business discovery and prices plans in USD. If you access the service from outside the United States, you understand that processing may occur in the United States or other locations where we or our processors operate.
11. Children
The service is intended for business users. It is not directed to children under 16 (or the higher age required in your jurisdiction). We do not knowingly collect personal data from children.
12. Your choices
- Update profile fields controlled by Google by changing them in Google Account.
- Cancel a paid plan from Account settings (returns the org to Explorer / free).
- Delete your account as described above.

Depending on your location, you may have rights to access, correct, delete, or restrict certain personal data, or to object to certain processing. We will respond to verifiable requests consistent with applicable law. Some rights may be limited where we must retain data for security, billing, or legal reasons.
13. Changes
We may update this policy as the product evolves. Material changes will be reflected by updating the “Last updated” date on this page. Continued use after changes become effective constitutes acceptance of the revised policy to the extent permitted by law.
